Telegram auto reply: stage messages, AI and follow-ups
ScaleGram CRM sends a template message when a lead changes stage or enters the CRM, suggests three AI-written replies when a closer answers, and flags the leads to follow up. Automatic sends are spaced out to protect your Telegram accounts.
In short
An automation pairs a trigger (stage change or new lead), conditions and actions: send a template message, add a tag, change the stage, assign, notify the team or call a webhook. Messages go out one by one, with at least 4 seconds between two sends on the same account.
Lead in closing or awaiting deposit validation, with no confirmed deposit.
The lead is flagged “to follow up”, with the reason.
Once per lead, from the conversation’s Telegram account.
Automations: a trigger, conditions, actions
Automations are created in the Automations screen, by members who have the permission to manage them. They run as soon as the trigger happens. For a message sent after a delay, use a follow-up rule (below).
| Element | What you can choose |
|---|---|
| Trigger | A lead changes stage, or a new lead enters the pipeline |
| Conditions | From and to stage, invite link of the original campaign |
| Actions | Send a template message, add a tag, change the stage, assign, notify, call a webhook |
| Message variables | {prenom}, {name}, {username}, {status} |
Example: when a lead from the TikTok campaign moves to “Closing”, the CRM sends them your welcome message with their first name, adds the “TikTok” tag and notifies the assigned closer.
Spaced sends to protect your accounts
Telegram limits sending without publishing its thresholds. Messages sent by automations therefore go through a queue per Telegram account: one message at a time, with at least 4 seconds between the end of one send and the start of the next. A bulk stage change does not fire hundreds of sends at once.
- When Telegram imposes a wait (FLOOD_WAIT), the send fails with the stated delay instead of insisting, and the account is paused until the delay is over.
- When Telegram flags the account as spam (PEER_FLOOD), the CRM says so and suggests checking with @SpamBot. There is no automatic retry.
Three replies suggested by AI
In a conversation, the closer asks for a suggestion: the AI reads the exchange and proposes three short, ready-to-send replies in the lead’s language. It can also improve or translate a draft. Nothing is sent until the closer reads it and sends it.
AI is free and unlimited during the launch phase. The details are on the AI reply suggestions page.
Follow-up rules: know who to follow up
A follow-up rule pairs a condition, a delay in hours or days, a priority and, if you wish, a message. Every 10 minutes, the CRM marks the matching leads “to follow up”, with the reason. When the rule has a message, it is sent once per lead in their Telegram conversation, through the same send queue as automations. To follow up at day 1, day 2 and day 7, create three rules with three delays. Conditions and sends are detailed on the automatic follow-ups page.
- Only leads that reach the delay after the message is saved receive it: turning a rule on does not message your whole history.
- A failed send is retried up to five times, from one minute to twelve hours later, and dropped if the lead no longer matches the condition or has written in the meantime.
- The “No deposit” condition targets leads in closing or awaiting deposit validation with no confirmed deposit, counted from when they entered the CRM.
| Condition | Starter rule offered | Priority |
|---|---|---|
| No reply | 48 hours | High |
| No trade | 7 days | Medium |
| No deposit | 5 days | High |
| Unanswered support | 24 hours | High |
Keep the team and your tools informed
- Notifications in the app, by email or on Telegram through your own bot, for new leads, deposits and stage changes.
- A response-time alert (30 minutes by default) notifies the assigned closer and the owner.
- A signed status-change webhook (X-Webhook-Signature header, HMAC SHA-256) for your tools.
Frequently asked questions
How do I set up an auto reply on Telegram?
In the Automations screen, choose a trigger (stage change or new lead), conditions, then the “send a message” action with your template. The message goes out from the conversation’s Telegram account.
Is the automatic message sent from my account or a bot?
From the connected Telegram account the lead wrote to. The lead sees a normal message from you.
Can I schedule a follow-up in three days?
Yes. Create a follow-up rule with a 3-day delay and your message: it is sent once per lead when the delay is reached, and not at all if the lead no longer matches the condition. For day 1, day 2 and day 7, create three rules.
Could automatic sends get my account limited?
The CRM sends one message at a time per account, with at least 4 seconds between two sends, and stops when Telegram imposes a wait. Messaging many strangers remains the main cause of limits.
What does the AI do for your replies?
It suggests three replies in the lead’s language, and can improve or translate your draft.
Is the AI paid?
No. It is free and unlimited during the launch phase.
Can I trigger an external tool?
Yes: an automation can call a webhook, and the status-change webhook sends every change with an HMAC SHA-256 signature.
