Run a team of closers: roles, permissions and lead assignment

ScaleGram CRM brings the workspace owner, managers and closers into the same tool. Each role has its permissions, each closer sees the leads that are theirs, new leads can be shared out automatically, and the activity log keeps track of what the team does.

In short

The owner has access to everything. An administrator role, such as the Manager role, sees every lead and manages the team and settings. Other roles, such as Setter or the ones you create, only see their own leads and the screens their permissions open. Permissions are set per role.

Owner, administrator roles and team roles

Each workspace has an owner: the account that created it. It has access to everything, without restriction. Team members each get a role. Two roles exist from the moment the workspace is created, and you add as many as you need.

The Manager role stays an administrator. The Setter and Manager roles can be renamed and edited, but not deleted.
RoleWhat it sees and does
OwnerThe whole workspace: leads, conversations, team, settings and activity log
Manager (administrator role)Every lead and conversation, team and settings management, lead assignment and the activity log
SetterTheir own leads, the shared inbox, team chat, AI Center, support, saved replies and deposits, with basic permissions
Custom rolesWhatever you decide: for example a “Junior setter” role with no access to deposits, or a “Senior closer” role that can export data

In the interface, as on this site, “closer” means the member who follows a lead up to the deposit. It is not a fixed role: you name your roles the way your team works.

Permissions set per role

A role is a list of permissions. Editing a role updates every member who has it; to give one person different rights, create a role for them. A custom role cannot be deleted while members still use it.

AreaExample permissions
ScreensAnalytics, Telegram chats, team chat, AI Center, saved replies, acquisition pages, automations, support, surveillance, deposits, UID check, team, settings
ConversationsSee every conversation in the inbox, not only those of their own leads
LeadsManage tags, manage the pipeline, invite a lead to the private channel
FinanceManage deposits, manage upsells
AdministrationExport data, manage the team, manage settings, manage API access

The “Preview this role” button shows the app as a member with that role sees it. You check what a setter sees before you send their invitation.

Invite a member

From the Team screen, “Add a member” asks for a name, an email address and a role, then one of two methods:

  • Invite by email: the member receives an email and chooses their password. The CRM also shows an invitation link to copy, valid for 7 days, to pass on via Telegram or WhatsApp.
  • Set password: the account is active straight away, with a password of at least 8 characters that you give to the member.

A member who has not activated their account yet shows “Invite pending”, with a button to resend the invitation. A manager can set a new password for a member, but only an administrator changes roles, and nobody changes their own.

An owner of several workspaces can invite the same person into several of them, with a different role in each. When a member leaves the team, their sessions are closed and their leads become unassigned.

Who sees which leads

A member without an administrator role sees the leads assigned to them and the ones they have claimed: lead list, search, deposits and exports. The “see every conversation” permission opens the whole shared Telegram inbox to them, without widening their lead list.

Assign leads: by a manager or automatically

One by one

On a lead record, the manager picks the assigned member. The member gets a notification.

In bulk

In the lead list, the manager selects up to 500 leads and assigns them to the same member, or unassigns them.

Claiming

In the conversations, a closer clicks “Claim” to take charge of a lead.

Automatic assignment of new leads is set in the settings: off, fair rotation (each in turn) or to the least busy member, the one with the fewest active leads. It applies when a conversation becomes a lead, among members who have activated their account. The settings show the next member in line and each member’s active-lead count.

The activity log

The activity log, open to the owner and administrators, lists the team’s actions: creating, claiming and moving a lead between stages, deletion, CSV import, bulk actions, deposits and upsells created, edited or deleted, lead and deposit exports, channel invitations, CellXpert sync, members joining and leaving, roles created and edited.

  • Each row shows who acted, what was done, when, and from which IP address.
  • Filters cover the action type, the author type, a specific member and a date range.
  • The same events appear in each lead’s timeline.

Work together without leaving the CRM

  • Team chat: a general channel and direct messages between members, with mentions, replies, attachments up to 30 MB, typing indicator and online presence. Messages are encrypted at rest.
  • Response-time alert: when a claimed lead waits for an answer beyond the target (30 minutes by default), the member in charge and the owner are notified.
  • Surveillance: rules flag links sent to customers, crypto wallet addresses that are invalid or not on your list, missed response times and, if you turn it on, messages the AI rates as low quality.
  • Stats per closer: assigned leads, deposits won, amount, average response time and conversion rate, in the workspace analytics.

Access security

One email address maps to one account on the platform. Two-step verification with an authenticator app (with 10 backup codes) and Google sign-in are available, and each workspace is isolated from the others. During the launch, no member limit applies: see pricing.

Frequently asked questions

Which roles exist in ScaleGram CRM?

The workspace owner, then two roles created by default, Manager (administrator) and Setter, plus any custom roles you add.

Can I give different permissions to a single member?

Permissions are set per role. Create a role for that member, for example “Junior setter”, and assign it to them.

Does a closer see other closers’ leads?

No, unless they have an administrator role. They see their assigned or claimed leads; the “see every conversation” permission opens the full inbox.

How are new leads shared out?

As you set it: assignment by the manager, fair rotation between members, or assignment to the least busy member.

What does the activity log contain?

The team’s actions on leads, deposits, upsells, exports, members and roles, with the author, the time and the IP address.

How many members can I invite?

No member limit applies during the launch phase.

What happens to the leads of a member who leaves?

They become unassigned and can be reassigned, by a manager or by automatic assignment.
